The Role:

The role is to effectively execute the purchasing process through team development and SAP master data governance. By using a combination of KPI metrics to lead process improvement and deliver to the business a seamless purchasing process. This role will provide leadership and guidance to the purchasing team, support the purchasing operations of Glanua's construction sites, and foster a collaborative and productive work environment.

Success will be ensuring the purchasing segment of the purchase to pay process is efficient and accurate whilst the Master Data in SAP is accurate and complies with governance policies and relevant SOPs.

Main Duties and Responsibilities:

The main duties and responsibilities of the Purchasing Supervisor and Master Data Governance

Team Supervision:

  • Lead, mentor, and supervise a team of purchasing clerks.
  • Assign tasks, manage workloads, and monitor performance to ensure timely and accurate completion of purchasing activities.
  • Conduct regular performance evaluations and provide constructive feedback and training.

Process Improvement:

  • Identify opportunities for improving purchasing processes and workflows. Use KPI's such as time to process, blocked invoice value, % of non Purchasing controlled spend to improve processes in Purchase to Pay
  • Implement best practices and automation solutions to enhance efficiency and accuracy.
  • Work with Accounts payable in a collaborative purchase to pay framework delivering efficiencies in the end to end process

 

Master Data Management:

  • Create, update, and maintain master data records in SAP, including materials, customers, vendors, and cost centre information
  • Ensure data accuracy, completeness, and consistency across all SAP modules.
  • Provide a framework that complies with Governance protocols to ensure data is updated with correct level of authority, segregation of duties and approvals as per department SOPs and RAPID.

 

Data Governance:

  • Develop and implement data and access governance policies and procedures to protect the business from intentional or unintentional process transgressions.
  • Ensure operational compliance (assignment of Roles and their T Codes) with these governance policies in the SAP functionality in P2P, O2C and HR.
  • Ensure accurate maintenance of purchasing records and databases.
  • Generate and analyze reports to track key performance indicators (KPls) and identify trends.
  • Provide insights and recommendations based on data analysis to support decision- making.
  • Compliance and Risk Management:
  • Ensure compliance with purchasing policies, procedures, and internal controls. Conduct regular audits of purchasing records and processes to ensure compliance.
  • Stakeholder Engagement:
  • Communicate effectively with internal stakeholders to ensure alignment with organizational goals.
  • Address and resolve any purchasing-related issues or conflicts.
  • Training and Development:
  • Develop and conduct training programs for new and existing purchasing clerks.
  • Keep the team updated on changes in procurement policies, procedures, and technology.
  • Encourage professional development and continuous learning within the team.

Knowledge, Skills and Experience:

The main knowledge, skills and experience required of the SAP Master Data Controller are outlined as follows:

  • Minimum of 5 years' experience working in a similar role managing a team and with direct SAP S4 Hana desirable
  • Previous experience in P2P and O2C processes
  • Understanding of SAP T- Codes, role structure and SAP tables
  • Development of Governance protocols and ensuring system compliance
  • Ability to use own initiative, problem solve and adjust as issues arise during contract.
  • Working knowledge of MS packages such as Word, Excel, PowerPoint.
  • Strong communication skills with a high level of motivation.
