We are seeking to recruit a full-time Administration Manager, on a fixed term 12 month contract, to join our clients rapidly expanding Operations and Administration team.

The position of Administration Manager will offer the successful candidate the opportunity to lead a strong team, work in a dynamic work environment across a wide variety of projects, utilising the various skills they may have acquired through formal training, personal interest and previous work experience.

The successful candidate will be reporting to the Finance & Operations Manager and will hold responsibility for overseeing the functions of the Administration team, liaising with our Senior Managers regarding their team’s training and equipment requirements, and reporting to Directors on administrative items.

The successful candidate would be expected to:

  • Be proficient in the use of MS Office suite, Word, Excel, MS teams
  • Demonstrate excellent attention to detail
  • Have a proven track record in organisational ability and people and project management
  • Be proactive in approach with a can-do attitude
  • Be an excellent communicator with a professional demeanour
  • Have experience and working knowledge of ISO 9001 Quality and 14001 Environmental standards. (Experience with ISO audits would be advantageous).
  • Show an ability to work as part of a busy team, and flexibility to work on their own initiative
  • Show confidence in liaising with Senior Managers to ensure systems are kept current and relevant at all times.
  • Have +5 years’ experience in a similar role (Preferably within professional services sector).

The key responsibilities associated with the role will include:

  • Leading the Administration Team in their day to day tasks and overseeing long term administrative and operational projects.
  • Maintenance of Project Management System (Rapport 3 – full training will be provided)
  • Overseeing the preparation of KPI reports for the Directors and Management Team.
  • Identifying public tenders of interest, circulating internally and assisting with preparation and compilation of non-technical inputs for same.
  • Induction of new starters and providing training on administrative procedures, project management, and internal processes.
  • Maintenance of our Performance Management and Career Development software, including the creation and syncing of Annual Review cycles.
  • Continuing to upkeep the positive company culture and maintain high morale through coordinating; along with the Sports & Social Committee; various monthly social events for staff and their families.
  • Managing and updating the company’s Quality and Environmental Management systems and procedures in line with ISO 9001 and 14001 requirements.
  • Health and Safety administration and assisting with Risk Assessment preparation.
  • Taking responsibility for company insurance quotations and renewals, ensuring the adequate levels of insurance cover for the company and its properties, fleet and equipment are in place, and that new equipment purchases are added to existing cover.
  • Ensuring all office and building facilities, equipment and supplies are managed.
  • Knowledge of the use of Purchase Orders, Sales and Purchase Invoices would be an advantage.
